This module has been designed to cater for the needs of all professionals that charge their clients on an hour-based tariff. All productive staff are required to book their time for all hours they work either against clients with an appropriate user-defined (or generic) productivity code and an optional narration, or against non-productive time codes. Non-productive staff complete a daily attendance register.
The system allows for setting up different hours of work for each weekday per employee if required, or uses predefined standard hours of work. An employee must close off each workday, which updates the Work-in-Progress (WIP) schedule. Disbursements can be added if required from the daily timesheet and are also updated to the WIP schedule.
Public Holidays are set up on the system and automatically close the day for each User. Different leave types can be set up and employees taking leave do so either on an individual screen or in bulk. Leave applications are electronically handled for authorisation, as are requests to work overtime. Where the PAPAS Payroll is installed, leave registers are updated automatically, as are authorised overtime hours.
The system also caters for Over / Under hours, which allows employees to work in time to be taken off occasionally later, without having to apply for leave. Parameters for Over / Under are User defined and can be switched off completely if not required
Timesheets are booked in units of time, which can individually be set at one unit being 1/5/10/15/30 or 60 minutes. Charge-out rates per hour are user-defined and employees (with necessary permission) can use up to three different pre-set rates per hour or even a completely flexible rate.
The WIP schedule contains all time charges and disbursements booked to clients. Billings are created from the WIP Schedule, which can be extracted and filtered in a variety of ways. Invoicing happens via a split-screen process with multiple options, including write-up and write-off function, transfer of charges between clients and more. Invoices will always retain the time charge detail attached to them, for easy reference in case clients query an account.
Invoices can be merged with batches generated in the PAPAS Secretarial module or bulk batches generated in the Time & Billing module. The latter would be for example an annual administration fee charged in bulk to all clients, or specific client groups, or selected clients. Where the PAPAS Accounting module is installed, invoices are automatically posted in the accounting records.
Other functionalities include creation of recurring periodic invoicing, bulk emailing of invoices, inter branch transfers and more. A budgeting section allows for detailed income projections for the next financial year, which can be updated to the PAPAS Accounting module. Each employee has a dashboard to check his actual performance against the current budget, either in terms of hours or value, or both.
Reports are grouped in different sections and can only be accessed by an employee if the necessary permissions have been granted. The reporting section is comprehensive and includes over 25 reports which can be extracted based on multiple criteria. Reports include productivity reports and time booked on non-productive codes, Rate variance reports identifying where an employee has booked time at a rate other than the standard rate, time charges by client or client groups, write-off reports, WIP Ageing reports, leave reports and many more.
